EXECUTIVE ASSISTANT

Reports To: Director of Human Resources

FLSA Status: Salaried, Non-Exempt

Summary of Position:

The Executive Assistant provides critical services in the areas of executive support and office management. The EA provides high-level administrative support to company executives by managing complex calendars, arranging for meetings and appointments, and coordinating travel. This position is the first point of contact for visitors, clients and prospective employees, so exemplary customer service and a cheerful, positive and can-do attitude is required. Additionally, the EA is the main point-of-contact for all facilities and maintenance requests and is the liaison with the building manager and outside vendors.

This position works independently performing a wide range of complex and confidential administrative duties. The EA must have excellent communication and interpersonal skills, and the ability to provide information and service to a wide range of internal and external contacts. The EA must be extremely detail-oriented, a great-multi-tasker, and self-motivated. The ability to prioritize tasks, problem-solve, and anticipate needs is a daily function of this position.

Key Activities:

Executive Assistant Duties:

  • Manage the front office by greeting visitors, screening phone calls, reviewing emails and mail; route and resolve information requests
  • Manage executives’ calendars and logistics by planning and scheduling meetings and conferences, teleconferences and travel which may include catering and external vendor coordination
  • Provide high-level, dedicated administrative support to the Executive Leadership Team, working and interacting closely with the executives to understand, intuit and anticipate needs, challenges and solutions
  • Coordinate and facilitate company functions and events
  • Interact with all levels of the organization and interface with external clients and board members, as necessary
  • Facilitate internal communication (e.g. distribute information and schedule presentations)
  • EA may assist as needed in recruitment duties, mainly coordinating interview and onboarding schedules.

Facilities and Maintenance Duties:

  • Manage office operations and procedures, such as word processing, filing and other clerical services
  • Coordinate space and office organization
  • Purchase and manage supplies and equipment
  • Maintaining the office condition and arranging necessary repairs
  • Act as liaison between organization, landlord and other VisitPay departments (such as IT) to ensure office needs are met

  • Exceptional time management and prioritization skills with a proven ability to meet deadlines
  • Advanced Microsoft Suite skills, specifically in Outlook, PowerPoint and Word
  • Aptitude to learn new software tools and systems

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or related field strongly preferred but not required
  • Minimum 5 years’ experience offering administrative supportive to executive level positions and reporting directly to someone in upper-management required
